Billing/Collections Specialist

Purpose

Contribute to the success of our service department by ensuring our customers are being billed timely and accurately. Maintain currency of Service receivables.

 

Duties/Responsibilities

  • Review jobs from prior day for accuracy.
  • Find and fix any errors from jobs prior day.
  • Create billing for prior day jobs.
  • Follow up on open jobs where payment was not collected from prior day.
  • Post payments for Check, Credit Card, and Cash payments received.
  • Follow collection process and collect on open jobs not paid.
  • Maintain accuracy and currency of Accounts Receivable and Customer Accounts.
  • Serve as a backup answering the phones.

 

Qualifications

  • Strong organizational skills
  • Exceptional communicator both written and oral

  • Quick to learn new systems and platforms
  • Experience in billing and customer service collections

Accounting Specialist

Purpose

The Accounting Specialist contributes to the company’s bottom line by certifying all invoices are paid timely and expense reports are processed correctly.

 

Job Duties

  • Ensures all the necessary documentation is provided to pay bills timely.
  • Enters all required vendor information to process payment.
  • Adds new vendors into the system.
  • Audit expense reports according to company policy.
  • Reconciles company credit card statements.
  • Inventory Receiving entry
  • Accounts Payable entry
  • A/P statement reconciliation
  • Communicates with Vendors regarding disputes and requests.
  • Reconcile Credit Card deposits
  • Create Panel Assignments upon demand
  • Assist Project Managers in completing Bid Requests upon demand
  • Assists with new hire orientation and set-up.
  • Processes receivable payments

  • Directs, controls, and monitors the activities of a company’s technicians.
  • Maintains contact with customers to exceed their expectations.
  • Makes important scheduling decisions based on many variables related to time and distance, skill levels, and job priority.
  • Respond quickly and calmly to problems, schedule changes, and handle emergency calls.
  • Effectively match each technician’s skill level with the job.
  • Estimate drive time accurately.
  • Contact customers to inform them of the technician’s estimated time of arrival.
  • Keep customers informed of any changes that affect them.
  • Understand how to create a schedule and use the dispatch software.
  • Develop contingency plans for busy times; optimize the schedule.
  • Communicate, as necessary, with inventory personnel and parts people.
  • Monitor technician performance; record results.
  • Obtain and verify payment methods.
  • Prepare for the next workday (supplies, technicians in place, etc.).
  • Convert incoming customer calls into booked service appointments.
  • Deliver call scripts with an authentic cadence; be clear, compelling and personable.
  • Respond to customer requests, resolving issues and promoting the brand.
  • Be professional and establish customer rapport, encouraging repeat business.
  • Participate in training to boost booked calls and practice outbound calling.
  • Adhere to the company’s plan for resolving customer complaints quickly and favorably.
  • Follow customer protocol through satisfaction calls and closure documentation.
